How to Use Notes in Allison to Stay Organized

Notes in Allison are more than just a digital sticky pad—they're your secret weapon for communicating clearly with your cleaners and keeping important details at your fingertips. Here's how to use them effectively.


Where Notes Live

There are six different types of notes you can add in Allison. In this article we'll go through what they are all used for and who can see what.

  • Entry Code

  • Cleaning Notes

  • Customer Notes

  • Property Notes

  • Office Notes

  • Invoice Notes

1. Entry Code

This is used for things like Door Codes, Gate Codes, etc. You can put any combination of letters and numbers in this field. This can be seen by the cleaner(s).

2. Cleaning Notes

These are job-specific and ideal for short-term requests. Examples:

  • “Skip stairs this week.”

  • “Focus on kitchen baseboards today.”

  • “Use the lavender cleaner in the bathroom.”

You can add these directly within each job under Job Details. The Cleaning Notes are intended to be for that specific occurrence and does not copy over to future jobs. These notes can be seen by the cleaner(s)

3. Property Notes

These are for location-specific instructions that don’t often change. Examples:

  • “Use driveway parking only. Street parking is prohibited.”

  • “Gate code: 91234. Garage code: 45678.”

  • “Don’t park on the grass. Use back door for entry.”

🧠 Pro Tip: Use property notes when creating or editing a customer profile. You'll find the field under the address section.

Similar to Customer notes, Property Notes will also stick with the customer profile and be shown on every job unless deleted or edited. You do not need update these notes each time you schedule a job with the customer. These notes can be seen by the cleaner(s)

4. Customer Notes

For long-term, personal details about the client. Examples:

  • “Customer works from home—be mindful of noise.”

  • “Has four kids and prefers low-scent products.”

  • “Does not like to chat—keep it professional and brief.”

Customer notes will stick with the customer profile and be shown on every job unless deleted or edited. You do not need update these notes each time you schedule a job with the customer. These notes can be seen by the cleaner(s)

5. Office Notes

Office notes are ONLY visible to the office staff roles. These are intended to help office staff document context that is helpful to know about the customer or property. Cleaners and customers will not be able to see these notes.

Office notes can be accessed from any job by expanding the job details and also by visiting the customers profile and scrolling down to where it says "Office Notes" as shown below. These notes can not be seen by the cleaner(s) or customers.

6. Invoice Notes

  1. Find the Invoice

    • From the Now Screen, view all your unpaid invoices.

    • Or, navigate to a Customer Profile and select any past job, then click View Invoice.

  2. Open the Internal Invoice

    • The internal view is what you see as the business—it contains extra details your customer won’t see.

  3. Add a Note

    • Scroll to the section labeled Add Notes / Add Photos.

    • Enter your note (e.g., “Thank you for your business—see you next week!”) and click Add Note.

  4. Add Photos

    • Click Add Photos to open the upload area.

    • Drag and drop images, or select them from your computer.

    • Once uploaded, tag photos as needed (e.g., “Before,” “After,” “Wow Moment”).

    • Press Attach Photos to finalize.


When to Add Notes

  • While scheduling a job

  • When creating a new customer

  • Before the cleaner heads out for a specific clean

  • When something important comes up mid-week


Bonus: Use Tags for Quick Reference

Below the notes section, you’ll find tags:

  • Do Not Service

  • Family and Friends

  • High Priority

  • MVP

  • Same Cleaner

You can also create custom tags! To edit or add customer tags you can do so by going to that customers profile and pressing the edit button and scrolling down to the tags section.
