Customize Email and SMS Messages

Allison allows you to customize the email and SMS messages sent to your customers and cleaners.

You can update the wording, subject lines, job information, policies, payment links, and other details included in each message. This helps your communication

Messages You Can Customize

You can customize many of the notifications and reminders sent through Allison, including:

  • Job confirmations

  • Job reminders

  • Quote messages

  • Invoice messages

  • Customer notifications

  • Cleaner job reminders

  • Cleaner new job alerts

The available messages may vary depending on the features enabled for your account.

How to Customize a Message

  1. Open the menu in the top-right corner of Allison.

  2. Select Settings.

  3. Scroll down to Messages.

  4. Select Edit Message Content.

You can also open the Content tab within the Messages settings to view all available customer and cleaner messages.

Find the message you want to customize and select Edit.

Edit the Email Content

When editing a message, the configuration appears on the left side of the screen. A live preview appears on the right.

Depending on the message, you may be able to edit:

  • Email subject line

  • Headline or introductory text

  • Main message content

  • Variables

  • Content blocks

As you make changes, the preview updates automatically.

Once the message looks the way you want, select Save.

The saved version will be used the next time Allison sends that message.

Edit the SMS Content

To edit the text message version, select the SMS tab at the top of the message editor.

You can rewrite the message and add any supported variables or content blocks.

For example, you could add language such as:

Please be aware that this job is estimated at {{Base Price}}. The final price may change based on the condition of the property.

The preview will display an example of how the message will appear with real information populated.

Select Save when you are finished.

Using Variables

Variables automatically insert information from Allison into a message.

Examples may include:

  • Customer first name

  • Customer or business name

  • Company name

  • Appointment date

  • Appointment time

  • Arrival window

  • Base price

For example:

Hi {{Customer First Name}}, we’re confirming your upcoming clean with {{Company Name}}.

When the message is sent, Allison replaces each variable with the appropriate information.

Only use variables available within the message editor. Available variables may differ depending on the type of message you are customizing.

Using Content Blocks

Content blocks add preformatted sections of information to a message.

Available blocks may include:

  • Job details

  • Date and time

  • Arrival window

  • Job and price summary

  • Cancellation policy

  • Terms of service

  • Payment method link

You can remove blocks you do not want included or add them back later.

For example, you may decide to remove the full job and price summary from a confirmation while keeping the appointment date and arrival window.

Understanding the Preview

The preview on the right side of the editor shows how the message will appear when it is sent.

It updates automatically as you:

  • Rewrite the message

  • Add or remove variables

  • Add or remove content blocks

  • Change the subject line

  • Switch between email and SMS

The preview uses example customer and job information. The actual message will use the information associated with the customer and job receiving the notification.

Where Variable Information Comes From

Some variables pull information from other areas of your Allison settings. For example, the arrival window shown in a reminder is based on your scheduling settings.

To update your default arrival window:

  1. Open Settings.

  2. Select Scheduling and Clock In.

  3. Update the appropriate arrival window settings.

  4. Save your changes.

The updated information will then populate messages that use the arrival window variable.

The same principle applies to other details such as cancellation policies, appointment information, and company information.

Add Your Logo and Brand Colors

You can also customize the branding used in your email messages.

From the message editor, select Set Logos and Colors.

You can use these settings to add your company logo and update the colors used in customer-facing communications.

Branding settings are separate from message content. Updating your branding will affect the appearance of supported emails, while editing message content changes the wording and information included.

SMS Length and Deliverability

The SMS editor displays an indicator showing the approximate length of your message.

Long SMS messages may be divided into multiple text message segments. Extremely long messages may also be more likely to experience delivery problems or appear overwhelming to customers.

For the best results:

  • Keep the message focused on one purpose

  • Include only the most important job details

  • Avoid repeating information

  • Use links or content blocks only when necessary

  • Review the length indicator before saving

Turn Messages On or Off

The Messages settings also allow you to enable or disable different notifications and reminders.

Turning a message off prevents Allison from sending it. Editing the content changes what Allison sends when the message is enabled.

Before disabling a message, confirm that customers or cleaners do not depend on it for important scheduling or job information.

Recommended Best Practices

Keep important operational details

Before removing a block, consider whether it contains information customers need, such as:

  • Appointment date

  • Arrival window

  • Cancellation policy

  • Payment instructions

  • Job address

  • Estimated price

Match your normal voice

Messages should sound like the way your company communicates everywhere else. You can make them warmer, more formal, more concise, or more detailed depending on your brand.

Review both email and SMS

Email and SMS are edited separately. Updating the email version does not automatically rewrite the SMS version. Review and save both formats when making a major communication change.

Preview before saving

Carefully review the preview for:

  • Missing information

  • Repeated sentences

  • Awkward spacing

  • Removed blocks

  • Incorrect variables

  • SMS messages that are too long

Frequently Asked Questions

Will my changes affect messages that were already sent?

No. Changes apply to messages sent after the updated content is saved.

Can I restore a block after removing it?

Yes. Use the available blocks in the message editor to add it back.

Why does the preview show a different customer or company name?

The editor uses example information to demonstrate how the message will appear. The actual message will use the information from the relevant customer, job, cleaner, and company account.

Can I use different wording for email and SMS?

Yes. Email and SMS content can be customized separately.

Why is my arrival window incorrect?

The arrival window variable pulls from your scheduling configuration. Review the arrival window under Settings → Scheduling and Clock In.

Why is my logo not appearing?

Open the branding settings by selecting Set Logos and Colors and confirm that a logo has been uploaded and saved.

What happens if I remove all the content blocks?

Only the text and variables remaining in the editor will be sent. Review the preview carefully to ensure the message still contains the necessary information.
