How to set up and use Checklists

What Checklists are for, how to build one, how to add it to a job, and how to track progress in real time.

Checklists let you spell out exactly what a cleaner should do on a job, so your service stays consistent and your cleaners have all the context they need. This article covers what Checklists are for, how to build one, how to add it to a job, and how to track progress in real time.

What Checklists are used for

  • Standardize your cleans. Build a repeatable list of tasks so every job meets the same quality bar, no matter who's cleaning.

  • Give cleaners context on-site. Cleaners see job notes, access instructions, and any special areas to review before and during the clean.

  • Collect photos that flow to the invoice. Every photo a cleaner takes becomes available to attach to the invoice — no more cleaners texting you pictures to upload by hand.

  • Track jobs in real time. Watch items get checked off as the cleaner works, and see exactly where a job stands.

How to set up a Checklist

  1. Open the Checklists section. In the top-right menu, click the menu button, then select Checklists.

  2. Add a checklist. If you haven't made one yet, you'll see a "Create your first checklist" screen. Click Add checklist.

  3. Name your checklist. Give it a clear name, such as "Standard Cleaning Checklist."

  4. Choose which services it's suggested for. Select the service(s) this checklist should be recommended for, then press Next. This isn't a locked, one-to-one match — it just means the checklist shows up as recommended for that service during the add-job flow. (You can view or edit your services from the menu under Services.)

  5. Build out your items. A checklist is made of items, and there are four types:

    • Headings — section labels like "Getting Started" or "Kitchen."

    • Tasks — something to do, like "Review the job notes."

    • Questions — a prompt for the cleaner to answer (single choice, multiple choice, or open text). You can add answer options where relevant.

    • Photos — a spot for the cleaner to add pictures, like before photos.

    Add items in whatever order you want cleaners to work through them. Cleaners can still complete items in any order they prefer.

  6. Mark items as required (optional). Tasks, questions, and photos can be set to required. If an item is required, the cleaner can't clock out until it's completed — or skipped with a reason. Leave an item optional if it's a "nice to have."

  7. Use the options on a completed checklist. Once a checklist is published, the right-hand side gives you four actions:

    • Preview — see the checklist exactly as your cleaner will see it.

    • Apply to jobs — apply the checklist to upcoming jobs (for example, all of your upcoming standard cleans).

    • Duplicate — copy the structure into a new checklist instead of rebuilding it line by line.

    • Delete — remove the checklist.

How to add a Checklist to a job

  1. In the add-job flow, once you are on the summary step (Step 3 of 3). Scroll to the bottom, past where you add a payment method on file, to the For cleaners section. Here you can add cleaning notes and add a checklist.

  2. Pick from the available checklists. Checklists suggested for the job's service appear here based on how you set them up.

  3. Add the checklist, press Done, then schedule the job and press Finish.

How to track a Checklist in progress

Open the job from the Today screen, then scroll down to the Job details and find the checklist section. It updates in real time as the cleaner completes items.

  • Green check marks show which cleaner completed each item, along with any details they entered.

  • You can see the cleaner's answers and any photos they've added (like before pictures).

  • A progress counter (for example, "22 of 48 items done") gives you a live view of how far along the job is.

  • If you need to reverse an item, you can undo it. Allison keeps a log of any changes made to the checklist, so there's a clear history.

FAQ

Do I have to use a specific checklist for a specific service?
No. Linking a checklist to a service only makes it show up as recommended during the add-job flow. It's not a required, one-to-one match.

My Cleaner cannot see the checklist. What should we do?
First, confirm that a checklist is attached the job. You can confirm by looking at the expanded Job Details view or on the Edit Job Screen. Second, make sure that the cleaner, if using the mobile app, is on the latest version. Have the go into the app store a verify that they are using the most up to date version of the app.

Can I change the checklist that is on a job?

Up until the job starts, you can change the checklist by choosing a different checklist or editing the current checklist from the Checklist Screen. After the job starts, the checklist is locked down.

What happens if a cleaner tries to clock out with required items unfinished?
If they are the last cleaner to clock out on the job, they can't. If a checklist has required items, the last cleaner to clock out must complete them — or skip them with a reason — before clocking out. If you do not want that to happen you must update/edit the checklist item to NOT be required.

How does this work when there are multiple cleaners on one job?
Every cleaner except the last one can clock out normally. The last cleaner to clock out has to finish (or skip with a reason) any required items before the job can be completed.

Do photos automatically get added to the invoice?
Yes and no. Every photo a cleaner takes becomes available to attach to the invoice — you just confirm which photos to include on the invoice. This replaces cleaners sending you photos to upload manually.

Can a cleaner complete the checklist out of order?
Yes. Cleaners can work through items in whatever order they prefer.

Can I reuse a checklist I already built?
Yes. Use Duplicate to copy an existing checklist's structure into a new one instead of rebuilding it item by item.

Can I add a checklist to a bulk of upcoming jobs?
Yes, simply press the button "Apply to Jobs" and select the upcoming jobs you'd like to apply this checklist to.

Can I undo a completed item, and is there a record of the change?
Yes. You can undo an item from the business view, and Allison keeps a log of any activity that changes the checklist.
