Sometimes cleaners forget to clock in. It happens. As an Owner or Manager, you can manually clock them in, mark jobs as complete, and edit timesheets — all from the Today screen.
This article covers three scenarios:
Your cleaner is on-site but forgot to clock in
The job is done but the cleaner never clocked in at all
You need to adjust a timesheet after the fact
Scenario 1: Manually Clocking In a Cleaner
If a cleaner is on-site but showing as Running Late, you can clock them in manually.
From the Today screen, click into the job.
Find the cleaner listed under the job — it will show how late they are (e.g., "Running 20 minutes late").
Click the dropdown next to the cleaner's name.
Choose one of the following options:
Clock in at job start — clocks them in at the originally scheduled start time
Clock in at [current time] — lets you enter a specific clock-in time
For example, if the job was scheduled for 9:00 AM and the cleaner arrived at 9:05, select the custom clock-in option and enter 9:05 AM. Press Clock In.
The job will move to In Progress, and the clock-in time will be recorded. You can verify this in the Job Activity log — it will show who was clocked in and by whom.
Scenario 2: The Job Is Done but No One Clocked In
If a job has already been completed but the cleaner never clocked in, you'll need to mark it as complete and add their timesheet manually.
From the Today screen, find the job.
Click the three dots (•••) next to the job.
Select Mark as Complete.
In the modal that appears, click Add Clock-In.
The scheduled start and end times will appear as gray placeholders (e.g., 8:00 AM – 9:30 AM for 1 hour 30 minutes).
If those times are correct, click the checkmark to accept them.
If you need different times, enter the actual clock-in and clock-out times.
Press Confirm.
The job will now show as Completed with the timesheet filled in.
Scenario 3: Editing a Timesheet After Completion
Need to adjust a timesheet on a completed job? You can do that too.
Click into the completed job.
Click the three dots (•••).
Select Edit Timesheet.
Make your changes and press Confirm.
The updated times will be reflected in the job record and any associated reporting.
Who Can Do This?
Only Owners and Managers can manually clock in cleaners, mark jobs as complete, or edit timesheets. Cleaners do not have access to edit or modify their timesheets outside of their ability to clock in and clock out.
A Note on Clock-In Best Practices
Manual clock-ins are there when you need them. But the best setup is one where your cleaners are clocking in and out on their own — it keeps statuses accurate, timesheets clean, and reduces the back-and-forth.
