Understanding and Managing Job Durations
Job durations in Allison are automatically calculated based on your property details and service configurations. This article explains how the system determines job length and how you can adjust it when needed.
How Job Durations Are Calculated
Allison calculates job durations using two key pieces of information:
Property details - The size of the property being cleaned and any add-ons
Service productivity rate - How many square feet per minute your team cleans for that specific service
Setting Productivity Rates
To set your productivity rates:
Go to Menu > Services
Select the service you want to configure (e.g., Standard Clean, Deep Clean)
Scroll down to find the Square Feet Per Minute field
Industry benchmarks:
Standard clean: approximately 16 square feet per minute (1,000 square feet per hour)
Deep clean: approximately 8-10 square feet per minute (requires more detailed work)
You can adjust these rates up or down based on what works best for your team and service offerings.
Automatic Duration Calculation
When you schedule a job, Allison automatically estimates the duration:
Navigate to Add Job and search (or add) your customer
Choose the service type (step 2)
The system calculates duration based on: Property square footage ÷ Productivity rate + add-on times
The duration is rounded to convenient time blocks and can be adjusted in 30-minute increments up or down.
Adjusting Job Duration When Scheduling
Before confirming a job, you can manually adjust the estimated duration:
Use the duration controls to increase or decrease time in 30-minute increments
The system will maintain your custom duration for that specific job
Editing Duration for Scheduled Jobs
Changing Duration Only
Navigate to the scheduled job (via Today Screen or Upcoming screen)
Click into the job details
Select Edit Job
Adjust the duration field to your desired length
Click Save Changes
Allison will automatically verify that your assigned cleaner is still available for the new time window. If they're not available, you'll be notified and can assign a different cleaner.
Rescheduling Time and Duration
If you need to change both the start time and duration:
Open the job details
Click Reschedule
Choose the date and select next
Select the new start time
Adjust duration if needed
Review cleaner availability
If your originally assigned cleaner isn't available for the new time slot, Allison will show you which cleaners are available so you can quickly reassign the job.
Best Practices
Set realistic productivity rates based on your team's actual performance
Different service types should have different productivity rates (deep cleans take longer than standard cleans)
When adjusting durations, always verify cleaner availability
Use the automatic calculations as a starting point, but don't hesitate to adjust based on specific property characteristics
Job Durations - Frequently Asked Questions
How does Allison calculate job durations?
Job durations are automatically calculated using two factors: your property's square footage and your service's productivity rate (square feet per minute). For example, if a property is 4,000 square feet and your standard clean productivity rate is 16 square feet per minute, the system will estimate approximately 4 hours for that job.
What is a productivity rate and where do I set it?
A productivity rate is how many square feet per minute your team cleans for a specific service type. You can set this by going to Menu > Services, selecting the service (like Standard Clean or Deep Clean), and entering your rate in the Square Feet Per Minute field.
What are typical productivity rates for cleaning services?
Industry benchmarks suggest:
Standard clean: approximately 14-16 square feet per minute (1,000 square feet per hour is challenging target!)
Deep clean: approximately 8-10 square feet per minute
However, you should adjust these based on your team's actual performance and the level of detail you provide.
Can different services have different productivity rates?
Yes, and they should! Each service type can have its own productivity rate (Square Feet Per Minute). Deep cleans typically require more time and attention than standard cleans, so their productivity rate should be lower (fewer square feet per minute).
Can I adjust the automatically calculated duration?
Absolutely. When scheduling a job, you can manually adjust the duration up or down in 30-minute increments. The automatic calculation is just a starting point based on your service configurations.
How do I change the duration of an already scheduled job?
Find the job on you the Today Screen or Upcoming screen
Click into the job details
Select Edit Job
Change the duration to your desired length
Click Save Changes
The system will verify that your assigned cleaner is still available for the adjusted time window.
What happens if my cleaner isn't available after I change the duration?
Allison will automatically check cleaner availability when you adjust a job duration. If your assigned cleaner is no longer available, the system will notify you and show which other cleaners are available so you can quickly reassign the job.
Can I change both the start time and duration at the same time?
Yes. Use the Reschedule button on the Edit Job page, choose the new start time and duration, and the system will show you which cleaners are available for the updated time slot.
Why does the system round my duration calculation?
Allison rounds job durations to convenient time blocks to make scheduling easier and more practical. You can always adjust the final duration manually if needed.
Should I adjust my productivity rates over time?
Yes! As your team becomes more efficient or as you refine your processes, you should update your productivity rates to reflect actual performance. This ensures your job duration estimates remain accurate.
What if I have a property with unique characteristics that might take longer?
While Allison calculates duration based on square footage and productivity rate, you can always manually adjust the duration for specific jobs. Some properties may have features (like high ceilings, extra detail work, or difficult access) that warrant additional time beyond the automatic calculation.
Do duration changes affect my customer notifications?
When you reschedule or adjust job times, you'll want to communicate these changes to your customer. The system helps you track these changes, but make sure to keep your customers informed of any schedule modifications.
