Exporting Invoices and Transactions (Reports)

In this article, I’ll walk you through how to export Invoices and Transactions from Allison, what each report includes.

These reports are especially useful for bookkeeping, accounting, and uploading data into tools like Google Sheets, Excel, or QuickBooks.

Where to Find the Reports

  1. Log into Allison

  2. Go to Reports

  3. Scroll all the way to the bottom of the page

You’ll see two reports:

  • Invoices

  • Transactions

Each report can be run and exported independently.


Invoice Report

What the Invoice Report Includes

The Invoice Report shows every invoice that was created in Allison during a selected time period.

Important detail:

  • Invoices are only created when a job is completed

You cannot manually create an invoice for a job that:

  • Does not exist, or

  • Has not been completed


How Jobs Get Completed

A job is considered completed in one of two ways:

  1. All assigned cleaners clock out, or

  2. You manually mark the job as complete

If you believe an invoice is missing, almost every time it’s because the job itself was never completed.


How to Export Invoices

  1. Go to Reports → Invoices

  2. Click Run Report

  3. Select the date range you want

    • Example: November 1 through November 30

  4. Click Calculate

  5. Review the list of generated invoices

  6. Click Export

  7. Click Download

This will download a CSV file that you can upload into:

  • Google Sheets

  • Excel

  • Accounting or bookkeeping software


Transaction Report

What the Transaction Report Includes

The Transaction Report shows:

  • All payments (transactions) within the selected date range

  • The associated invoice ID for each payment

This is typically used to track actual money movement rather than invoice creation.


How to Export Transactions

  1. Go to Reports → Transactions

  2. Click Run Report

  3. Select your desired date range

  4. Click Calculate

  5. Review the list of transactions and linked invoices

  6. Click Export

  7. Click Download

Just like the invoice report, this downloads a CSV file you can upload into:

  • Google Sheets

  • Excel

  • QuickBooks or other accounting tools


Common Use Cases

Most customers use these reports to:

  • Reconcile revenue

  • Send data to their bookkeeper

  • Upload invoices and payments into QuickBooks

  • Analyze monthly or quarterly performance


Quick Troubleshooting

If something looks missing:

  • Check whether the job was completed

  • Confirm the date range you selected

  • Remember that invoices only exist for completed jobs
