How to Schedule a Job in Allison
Scheduling jobs in Allison is fast and easy. Most jobs can be scheduled in just a couple of minutes once you’re familiar with the flow.
This guide walks you through the process step-by-step.
Prerequisites
Before scheduling a job, make sure you have:
Services already set up in your company settings. (Top Menu > Services)
Employees created in Allison (this includes anyone who can be assigned to jobs).
Step 1: Add a Job
Go to Add Job.
Search for an existing customer by name, address, or phone number.
If they are new, click Create New Customer and fill out their profile details.
Select the customer to view a quick profile snapshot for confirmation (email, phone number, and address).
Step 2: Configure the Job
Click Create New Job.
Select the following:
Frequency (e.g., one-time, weekly).
Service (e.g., standard clean, deep clean).
Add-ons (e.g., interior windows, oven cleaning).
If desired, save the job as a Quote:
Save as Quote keeps it in the system without sending.
Send Quote emails it directly to the customer.
Step 3: Choose Date & Assign Cleaners
Select the date based on availability.
Example: “We have openings on Wednesday, Thursday, Friday, or Saturday.”
Allison will show which cleaners are available.
Select one or multiple cleaners.
Use the toggle to show or hide unavailable cleaners.
Confirm the estimated duration (green bars represent time blocks).
Step 4: Select the Time
Choose the best start time.
Allison will warn you if the time runs past business hours.
Continue once the schedule looks correct.
Step 5: Review and Finalize
Review the job summary:
Service type
Date & time
Assigned cleaners
Price estimate
Make any changes if needed (e.g., switch from Standard Clean to Deep Clean).
Optionally, collect a card on file to streamline payment after the job.
Add Cleaner Notes for this specific job occurrence (e.g., “Do not clean upstairs bathroom—under renovation.”).
Step 6: Schedule the Job
Click Schedule Job.
The system will:
Notify the customer via email.
Notify assigned cleaners of their job.
The job will appear on your calendar with all customer, property, and note details visible to the cleaner.
Quick Tips
Quotes vs. Jobs: Use “Save as Quote” when you’re still in the proposal stage. Use “Schedule Job” to confirm a booking.
Cleaner Notes apply only to that single visit, while Customer Notes and Property Notes stay on file.
Card on File simplifies payments and reduces late collections.
